This Privacy Policy explains how Venture Tech Solutions collects, uses, discloses, and safeguards personal information when you use Job Board Manager. We are committed to handling personal information in accordance with the Personal Information Protection and Electronic Documents Act ("PIPEDA") and applicable provincial privacy laws in Canada.

1. Introduction

Venture Tech Solutions ("Venture Tech", "we", "us", or "our") provides Job Board Manager (the "Application" or "Service"), a multi-tenant platform offered through a web application and mobile applications that helps businesses schedule, dispatch, track, and manage field service work.

By creating an account or otherwise using the Service, you acknowledge that you have read and understood this Privacy Policy.

2. Scope and Our Role

The Service is offered on a multi-tenant basis. Each organization that subscribes to the Service (a "Customer") uses the Service to manage its own operations, employees, contractors, and the individuals it serves. Our role depends on the type of information involved:

  • As a service provider. When a Customer enters or uploads information about its own staff, clients, job sites, or end-customers, we process that information on the Customer's behalf and under the Customer's instructions. The Customer is accountable for that information and for obtaining any necessary consents. If you are an individual whose information was provided to us by a Customer, please direct privacy requests to that Customer; we will assist the Customer in responding.
  • As the responsible organization. When you create an account, communicate with us, or use our public-facing web pages, we handle that information for our own purposes as described in this Policy.

3. Information We Collect

3.1 Information you provide to us

  • Account and profile information: name, email address, phone number, job title, organization name, and login credentials.
  • Operational data you enter: job details, schedules, customer and contact records, addresses, service notes, invoices, time entries, and similar content created while using the Service.
  • Files and attachments: documents, images, and other files you choose to upload and attach to records within the Service. You are responsible for ensuring you have the right to upload such content and that it does not include information you are not permitted to share.
  • Communications: information you provide when you contact support, submit a request, or respond to surveys.
  • Payment information: billing contact details. Payment card processing is handled by third-party payment processors; we do not store full card numbers on our systems.

3.2 Information collected automatically

  • Device and technical data: device type, operating system, application version, browser type, IP address, and device identifiers.
  • Usage data: features used, pages or screens viewed, actions taken, timestamps, and diagnostic and crash logs.
  • Cookies and similar technologies on our web application, used to keep you signed in, remember preferences, and understand usage. You can manage cookies through your browser settings; disabling some cookies may affect functionality.

3.3 Mobile application

The mobile application does not require access to your device's location (GPS) or camera. When you attach a file to a record, the application uses the standard file picker provided by your device's operating system to access only the single file you select; it does not enumerate, index, or access any other files, and it does not request broad access to your device's storage or photo library.

Notifications about your work, such as job assignments, reminders, and status updates, are generated within the Service. The application may display these as notifications on your device, but it does not use third-party remote push notification services, and your information is not transmitted to any push provider for this purpose. You can control whether notifications are displayed through your device settings.

4. How We Use Personal Information

We use personal information to:

  • provide, operate, maintain, and secure the Service;
  • create and manage accounts and authenticate users;
  • enable scheduling, dispatch, job tracking, and other core features;
  • process transactions and manage billing;
  • provide customer support and respond to requests;
  • send service-related communications and in-app notifications, including security and administrative notices;
  • monitor, analyze, and improve performance, reliability, and usability;
  • detect, prevent, and investigate fraud, security incidents, and misuse; and
  • comply with legal obligations and enforce our agreements.

We use personal information only for the purposes identified at or before the time of collection, or for a use that a reasonable person would consider appropriate in the circumstances, unless we obtain further consent.

6. Disclosure of Personal Information

We do not sell personal information. We may disclose personal information:

  • To service providers who perform functions on our behalf — such as hosting, infrastructure, analytics, payment processing, and customer support — under agreements that require them to protect the information and use it only for the purposes we specify.
  • To the relevant Customer organization where information belongs to that Customer's tenant.
  • For legal reasons, when required to comply with applicable law, legal process, or a lawful request by public authorities, or to protect our rights, safety, property, or that of others.
  • In a business transfer, in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality protections.

7. Data Retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected, to provide the Service, and to meet legal, accounting, or reporting requirements. Operational data entered by a Customer is retained according to the Customer's subscription and instructions. When information is no longer required, we take reasonable steps to securely delete or anonymize it.

8. Data Security

We maintain administrative, technical, and physical safeguards designed to protect personal information against loss, theft, and unauthorized access, use, modification, or disclosure. These measures include encryption in transit, access controls, and monitoring appropriate to the sensitivity of the information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Storage and International Transfers

Personal information may be stored and processed in Canada or in other countries where we or our service providers operate. Where information is transferred outside Canada, it may be subject to the laws of those jurisdictions, including lawful access by courts, law enforcement, and other authorities. We take reasonable steps to ensure that service providers provide a comparable level of protection.

10. Your Privacy Rights

Subject to applicable law, you have the right to:

  • access the personal information we hold about you and request information about how it has been used and disclosed;
  • correct inaccurate or incomplete personal information;
  • withdraw consent to the collection, use, or disclosure of your personal information, subject to legal and contractual restrictions; and
  • make a complaint about our handling of your personal information.

To exercise these rights, contact us using the details in Section 13. We may need to verify your identity before responding. We will respond within the timeframes required by applicable law. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

If your information was provided to us by a Customer, we will refer your request to that Customer or assist the Customer in responding.

11. Children's Privacy

The Service is intended for use by businesses and their personnel and is not directed at children. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can take appropriate action.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date and, where appropriate, provide additional notice. Your continued use of the Service after an update takes effect constitutes acknowledgement of the revised Policy.
